COVID – 19 SERVICE IMPACT ALERT

With the Covid-19 lockdown restrictions being eased to varying degrees across different parts of the UK and Ireland, we are updating our information on the continuing impacts to service and of the adjustments, we are making as restrictions are gradually eased. The lockdown restrictions and guidance remain unchanged in Scotland and Wales

  • The restrictions remain essentially the same in Northern Ireland, with an easing to allow Garden centre’s, refuse recycling and some sports venues to reopen and an increase in the number of people who may meet outdoors, all subject to maintaining social distancing protocols.
  • The Republic of Ireland has announced a similar easing of restrictions to Northern Ireland.

In England, the Government has eased restrictions and published updated guidance’s to allow more businesses to reopen and for more people to return to work, with updated social distancing protocols.  The Government advise that people who are able to work from home should continue to do so.  For those people returning to work at businesses that reopen, the Government has issued updated social distancing and safer working environment guidelines for employers to implement in the workplace.

  • At Rico and Circle Express, our people will continue to work from home where this is possible.  
  • A senior management project team has been created to oversee the implementation of updated social distancing and safer working protocols.
  • We are performing individual risk assessments at each one of our locations and will implement updated protocols and ways of working at our sites, in line with Government guidelines.
  • Our front line people continue to work at our network locations as before, using PPE and social distancing protocols when delivering our customer services.

Same day Services

Our couriers in England are now permitted to travel to and plot (wait) at FSL’S in anticipation of a job booking.   Our couriers and front line drivers across the whole of the UK and Ireland will continue to adhere to our social distancing protocols when completing collection and delivery.

  • Upon arrival at the collection or delivery point, the courier will politely inform the customer that they are observing the ‘no contact and social distancing’ guidelines published by the Government and adopted by Rico / Circle Express.
  • Couriers will maintain a no contact stance insofar as they can when making a collection, to achieve social distancing of 2 metres.  This will be achieved by asking the customer to place the parcel on a nearby surface, even the floor, so it can be picked up without physical contact with the customer.  The same process to be used in reverse when making a delivery to a customer.
  • Gloves should be used when handling the consignment where available.  If no gloves are available, couriers should avoid touching their face until they have washed their hands with soap or sanitiser, in line with the Government published guidelines.
  • Couriers and drivers should not offer the mobile device or paperwork for the customer to sign for the delivery.  Instead, customers should be asked to confirm their name and the courier/driver can write the customer name into the mobile app or delivery note and add ‘CV19’ after the name to signify that the courier/driver has signed on behalf of the customer.
  • In the event that a customer refuses to confirm their name after receiving the consignment, the courier/driver will enter ‘refused signature CV19’ to complete the delivery.
  • In the event that a customer refuses to cooperate with the ‘no contact, social distancing’ protocol and if the courier/driver is concerned, they should withdraw and seek further guidance from the company.

Job Volumes

Job volumes are increasing as more businesses reopen and road traffic volume is also increasing, with a return of congestion on some key routes during rush hour periods, particularly within London.
We are seeing lower numbers of reported illness or incidents of self-isolation across the network and we have a good capacity of resources to meet the increasing demand for service as more businesses reopen.

FSL and PUDO update

Our FSL and PUDO network continues to operate under social distancing protocols.

Customers will be served at counters on the basis of ‘one in and one out’, so that they are served individually at counters. The same protocols apply to couriers collecting parts from an FSL Where customers need to queue either inside or outside or the FSL or PUDO, we ask that they respect the 2m distance rule to other people around them, to observe social distancing measures published by the Government.

Additional updates to the protocol and ways of working may be implemented within our sites, following completion of the individual site risk assessments, in line with the updated guidance published by Government.

Our teams will continue to work diligently to serve customers as quickly as possible so they can continue on their business once served, but within the process listed above. We understand that this may create some frustration on occasion as it may take longer for customers to collect or return parts to FSL and PUDO locations and we ask for your understanding and support in implementing this protocol.

The PUDO management team are working with our service partners to implement updated social distancing measures and safer ways of working, to allow a phased reopening of those PUDO sites that closed shortly after lockdown. We will issue an update on the reopening of PUDO’S shortly.

Rico’s Field Resourcing and In-Night Services divisions continue to operate as before, with good levels of resource available to support increases in customer demand for service as more businesses reopen.

The Circle Express network is also operating with good levels of resource and are able to support increases in demand for services.

We are continuing to hold meetings of the Covid-19 Contingency Project team – made up of the Rico Logistics and Circle Express senior management team. This team convenes an electronic meeting three times weekly to review service impacts, progress contingency actions and assess the effectiveness of contingency actions. The project team’s focus has switched toward exit strategy planning.

Our approach to moving out of lockdown restrictions – will be characterised by the same planned approach that we have applied to the period of full lockdown contingencies. We will review updated Government plans, advice and guidance and ensure compliance to safeguard our customers and our own teams. We will continue to protect front line services. We will consult with our customers to reflect their changing service needs and requirements as we emerge from the current restrictions. We will continue to provide clear communication to our customers as we transition to the new post lockdown changes and amend our contingencies accordingly.

Customer Support

We will continue to provide support to our customers as they reopen or implement their own exit strategies, new protocols and ways of working as restrictions are further eased across the UK and Ireland.
